Security starts with your multifunction printer or copier

There’s a lot of discussion and anxiety over cyber security and having our systems hacked by bad actors, with disastrous results if information gets into the wrong hands. This ongoing discussion serves to remind us all that we need to be extremely vigilant when it comes to protecting sensitive information.

It is worth remembering that information stored on a hard drive can be recovered if someone  knows what he/she is doing. In the Managed Print Services industry, we advise our customers to be very careful when it comes to even seemingly harmless pieces of equipment such as the office copier or multifunction printer.

Advances in technology make it less likely for the theft of information, but if you are leasing a copier or printer and are planning to return it in exchange for a new model, ask your provider what steps they take to insure that any information which may have been stored on its hard drive is not discoverable by the next user or someone in between. In some cases, hard drives have actually been shredded to avoid just such a circumstance, or the information can be overwritten which essentially erases it.

It’s good advice to be alert as to where your sensitive information resides, and to be sure that you have the proper steps in place to protect it.
